Organize and coordinate the daily schedule of the Project General Manager and his colleagues (Operations Manager, Production Manager, Laboratory, EHS Manager, etc.), including schedules, meetings and travel arrangements.
Arrange and attend meetings, take notes and record meeting minutes as required by the General Manager.
Prepare and distribute internal and external documents, including reports, memos, emails, etc.
Maintain electronic and paper files of the executive team and ensure regular updates.
Manage communication channels and respond to correspondence appropriately on behalf of executives.
Handle confidential information with care and professionalism.
Communicate effectively with all activities of the customer’s department and external stakeholders.
Plan and coordinate events, meetings and workshops as required.
Provide general administrative support, including answering calls, handling inquiries and managing office calendars.
Perform other duties assigned by the executive team.
Requirement
1. Bachelor degree or above, management, business administration, secretarial or related majors are preferred;
2. More than 3 years of relevant work experience, assistant experience in large enterprises or multinational companies is preferred;
3. Proficient in using Office software (Word, Excel, PowerPoint, etc.), with basic computer operation skills;
4. Excellent communication and coordination skills, time management skills and multi-tasking skills; pay attention to details, have a high sense of responsibility and professional ethics; good English listening, speaking, reading and writing skills, able to conduct daily business communication;
5. Proactive, with good teamwork spirit and service awareness;
6. Good English communication skills (written and spoken).
